GA West is looking for Specialists and Lead positions in Project Document Control. Depending on experience, there is potential for this position to become a lead position after 90 days of evaluation. This is a technical position that will require extensive knowledge of varying project management and EDMS platforms and how they function. Microsoft Excel, Adobe Acrobat Pro, Bluebeam, and project management sourcing/collaboration sites experience is required, along with extreme attention to detail. This is a full-time, in-office opportunity with a Monday – Friday 8AM to 4:30PM schedule. 

 

Pay range is $20 to $30 an hour depending on experience.

 

Duties are as follows:

  • To perform all functions of the Project Document Control department, including but not limited to:
    • Customer correspondence
    • Submittals
    • RFI’s
    • Change Order Requests
    • Drawings and Revision Control
    • Handoff package preparation
    • Analyzing received packages for duplications, errors, receipt, etc. against the transmittal
    • Ensuring customer requirements regarding communication, documentation, collaboration sites, etc. are met
    • Drawing and Spec package preparation
    • Distribution list control
    • Ensuring all project team members (internal and external) receive up-to-date information pertaining to the project
    • Ensuring all logs (COR, RFI, drawing, transmittal, corporate transmittal) are accurate and up to date
    • Clear and concise communication with the G.A. West project team, engineer, vendors, and the customer
    • To analyze contracts for data flow requirements and put a process in place to meet these requirements on a job-by-job basis
    • To aid in the development and implementation of innovative ways to manage the flow of customer, project team, engineer, and vendor correspondence and documents
    • To manage the document control process, GA West internal database, and collaboration database for all current work
    • Adhere to customer requirements while also adhering to all G.A. West requirements
    • To perform, with the Document Control team, regular audits (weekly, monthly, yearly) to ensure accuracy and eliminate errors
    • To attend internal kickoff meetings to represent the department
    • To ensure that the communication between the field, office, customer, vendors, and engineer is as clear as possible and to alert upper management if a break in that communication occurs
    • To the best of your ability, ensure quality, accuracy, and timeliness in all tasks
